Our recent project with Payroll Vault, a national franchise-based payroll provider, exemplifies what this accreditation is all about. By designing and implementing a custom middleware solution that connected HubSpot with iSolved HCM, we helped Payroll Vault unify systems, eliminate data silos, automate processes, and create a scalable foundation for growth.

Payroll Vault operates a B2B franchise model, serving clients across 58+ franchisees and managing over 250,000 contacts. Yet the company was hampered by outdated systems, namely a legacy CRM (FranConnect) that was ill-suited to support high-volume, multi-entity B2B operations.
Their challenges were extensive:
- Redundant manual data entry across systems that couldn’t “talk” to each other
- Lack of real-time visibility into lead status, marketing effectiveness, and client onboarding
- Inconsistent sales processes and automation gaps
- No unified dashboards for key performance metrics
- Heavy administrative overhead for franchisees, leading to wasted time and missed opportunities
They needed a robust, secure, and maintainable integration between their new HubSpot Suite Enterprise platform and iSolved HCM—one that supported complex relationships between franchises, companies, contacts, and employees. And they needed it built to scale.

Crucially, we helped Payroll Vault move beyond a request for real-time sync—something not technically possible due to iSolved’s lack of webhook support. Instead, we implemented poll-based syncing every 10 minutes, ensuring consistent, reliable, and traceable data updates.

A Deeply Technical, Highly Tailored Solution
Our solution architecture was built on a modular Node.js middleware, hosted on Heroku, and backed by a PostgreSQL database. Every object type—Clients, Legals, Contacts, and Employees—had its own fetch and sync module, complete with change detection, batch processing, and association mapping.
Highlights of the solution included:
- Custom CRM cards in HubSpot to trigger secure, user-initiated syncs back to iSolved
- Two-way data flow with fine-grained control to avoid unintentional overwrites
- Batch syncing with intelligent rate limiting to stay within HubSpot’s API thresholds
- PostgreSQL triggers to detect changes and track sync status at the field level
- Bi-directional associations between HubSpot standard and custom objects, including Franchises and Employees
The entire integration was monitored in real-time via Heroku logs and dashboards. Errors were isolated and retried without halting the entire pipeline. Every sync action was audit-ready.
